Doctor payout & revenue-split automation: ending the month-end spreadsheet

If doctors are paid on revenue splits, someone rebuilds those splits in a spreadsheet every month — with TDS, corrections, and arguments. Here's what automating payouts actually looks like.

Doctor payout automation means the billing system — which already knows every invoice, every doctor, and every service — calculates each doctor's earnings from configurable revenue-split rules, applies TDS, and produces a printable payout statement the doctor can verify line by line. The manual alternative is one of the most error-prone rituals in clinic administration, and one of the few that can damage the clinic's relationship with its own doctors.

Why manual payout calculation goes wrong

The data is scattered (consultations in one place, procedures in another), the rules are per-doctor (60/40 here, 70/30 there, flat fees elsewhere), and the edge cases pile up: the invoice raised last month but paid this month, the voided bill, the TDS that must be deducted and documented. A spreadsheet handles the happy path; the edge cases become disputes.

What an automated payout system needs

  • Configurable split rules per doctor. Revenue splits differ by doctor and by arrangement. The rules live in the system once — not in the accountant's head.
  • TDS handled, not remembered. Tax deduction applied in the calculation and shown on the statement, so compliance is a byproduct rather than a separate chore.
  • A statement, not a number. Doctors don't trust totals; they trust line items. A payout statement that can be previewed and printed, listing what was earned and from where, ends the monthly negotiation.
  • Settlement history. Each statement marked paid — or voided with a record — so "was I paid for March?" has an answer in the ledger, not in anyone's memory.
  • Backfill for late data. When an invoice lands after the period was calculated, the system should recalculate cleanly instead of spawning "final_v2_REAL.xlsx".

The quiet benefit: doctors trust the numbers

The payout spreadsheet is where doctors and management most often collide. A system both sides can read — with the same line items — removes the recurring friction, which matters more than the hours saved.

FalconCare's doctor ledger does all of the above: per-doctor revenue splits with configurable rules, TDS deductions, one-click backfill, and payout statements you can generate, preview, print, and settle — with full paid/void history. See it with your own split rules.
